Stop Guessing the Value of Software, Measure It Like This
How to measure value beyond the price tag
Read Time: 4 Minutes
Before we talk numbers, let’s be honest…
Most software decisions are gut feel, not data.
And too often, that gut feel leads to tech that eats time, wastes money, and frustrates everyone.
So, what’s the point of software?
Because if the answer is just “to have a system”, we’re already on the wrong path.
The right software should do one of three things:
✅ Save time
✅ Reduce waste
✅ Unlock growth
This week, we’re breaking down how to measure the real return on software and how to spot when it's paying off.
Here’s what we’ll cover:
⚙️ What ROI Really Means (And What It Doesn’t)
🚀 How to Actually Calculate ROI
🔑 The Hidden ROI Most People Miss
🏆 How One Automation Delivered a 20x Return in 12 Months
Let’s get into it 👇
This week I have a confession, I’ve been glued to the Tour de France.
Having followed the Tour for over a decade, it’s so much about grit, determination and data.
I’m constantly amazed by both the spontaneous and orchestrated attacks throughout the day.
Speed is everything, but only when it’s sustainable!
More and more teams tell me they’ve hit the wall chasing quick wins with AI tools and vibe-based coding, no structure, no clarity, no ROI.
Behind the scenes at GGA, we’ve been building something that’s quietly changing how we operate: our own AI brain.
It’s not a gimmick.
We’re loading our standard operating procedures into a private LLM and creating agents that help power every area of the business, from onboarding to delivery to internal decision-making.
And the most surprising part?
What used to take weeks now takes days.
Idea → Clarity → Execution → ROI.
Three times faster than just a couple of years ago.
It’s like switching from the peloton to a breakaway with a full lead-out team.
This week’s newsletter explores that same sweet spot: where the right tech doesn’t just move faster, it helps you make better decisions, earlier and always provides a measurable return.

What ROI Really Means (And What It Doesn’t)
ROI isn’t just spreadsheets.
It’s:
Doing more with less.
Seeing what’s working, before things break.
Freeing your team to focus on what matters.
That gain could be:
Hours saved each week
A smaller team doing more
Higher customer retention
Faster onboarding
Fewer costly mistakes
If it’s not saving time or unlocking value, it’s just shelfware with a login screen.
Takeaway: If it’s not improving efficiency, accuracy or growth, it’s just tech for tech’s sake.
How to Actually Calculate ROI
Let’s keep it simple.
Here’s a quick way to break it down:
🧮 (Annual Time or Cost Savings – Annual Cost of Software) ÷ Annual Cost of Software
Example:
Your team saves 400 hours per year thanks to automation
Average hourly cost is £30
Annual saving: £12,000
Software cost: £6,000
ROI = (12,000 – 6,000) ÷ 6,000 = 1 = 100% ROI
That’s your money back, doubled.
If you bought a £6,000 machine that saved you £12,000 in labour, you wouldn’t think twice.
That’s what great software does, it quietly, consistently pays for itself.
Nugget #1: If you can’t track how the software saves time or money, you’re flying blind.
Not all ROI shows up on a balance sheet.
There’s strategic ROI too:
✔️ Teams stop firefighting and start innovating
✔️ Customers get better, faster service
✔️ Leaders get real-time insight instead of waiting for reports
✔️ Onboarding takes days, not weeks
✔️ Less turnover because people aren’t wasting energy on boring admin
One client told us:
"We didn’t just save money, we got our time and sanity back."
Nugget #2: ROI isn’t just about pounds, it’s about progress.
How One Automation Delivered a 20x Return in 12 Months
A client in the compliance space was manually checking reports against a set of internal rules.
The process took 3 full-time staff, 5 days a week.
We built a compliance engine with 100+ rules and automated 80% of the checks.
What happened?
The team was redeployed to higher-value work
Accuracy went up
Errors dropped
Time-to-resolution halved
And yes, they got their investment back 20 times over in the first year
Nugget #3: Software done right doesn’t just pay for itself. It funds your next big move.
What Can You Do Today?
Try this:
🔹 Write down your 3 biggest time sinks
🔹 Estimate how many hours they chew up each month
🔹 Multiply that by your team’s average hourly rate
🔹 Now imagine cutting that time in half
That’s the ROI waiting to be unlocked.
