Last week, I took the family to Thorpe Park and while Saw was Fraser’s favourite ride, it gave me flashbacks to something all too familiar…

I remember jumping into one of our fortnightly sprint retros last year and realising… we’d hit our limit.
Client demand was climbing.
The team was at full capacity.
But somehow, everything felt slower.
Decisions were stalling.
Quality were slipping.
Even our most efficient people were feeling the pressure.
It was a total rollercoaster of emotions, pride in the growth, frustration at the friction, and a nagging fear that things might break if we kept going like this.
That’s when it clicked: we didn’t need more time. We needed better systems.

In my first business, 22 blue, we were growing, hiring new team members, taking on more clients… but underneath it all, we lacked solid foundations.

After one of our recent sprint retros, it was clear we needed to be more transparent with clients about project progress, to reduce client requests for updates, but without giving access to internal tools like our developer platform, Shortcut.
Our answer? Create client-facing project trackers in Notion.
The problem? That added a whole new layer of manual admin. Basically doubling the workload overnight for our brilliant, but super busy project manager, Erin.
We knew this wasn’t scalable.
So, we stepped back, mapped the process, and built a custom integration between Notion and Shortcut.
Now, both systems stay perfectly in sync, clients get real-time updates, and our team isn’t stuck duplicating work.

If it’s happening more than once, and it’s still manual, it’s a prime candidate for automation.
🔹 Could you grow 2x without hiring 2x?
If not, your systems aren’t scaling with your ambition.
